COUNTRY WEST MOTEL – TERMS & CONDITIONS Rock Springs, Wyoming
By confirming a reservation and/or checking into Country West Motel, the guest agrees to the following Terms & Conditions.
RESERVATION DEPOSIT & PAYMENT POLICY
A 20% deposit is required at the time of booking.
The remaining balance will be automatically charged 7 days prior to arrival.
Guests selecting the Non-Refundable Rate will be charged 100% of the reservation at the time of booking. Non-Refundable reservations are non-refundable and non-modifiable.
For same-day or short-notice reservations, full payment may be required at the time of booking.
The credit card on file must remain valid throughout the stay. If a payment is declined, Country West Motel reserves the right to cancel the reservation immediately unless alternate payment is provided.
CANCELLATION & MODIFICATION POLICY
All reservation changes or cancellations must be made directly by calling the property.
Standard Rate (20% Deposit Reservations):
• More than 7 days prior to arrival: Full refund of all payments made.• 3–7 days prior to arrival: 50% refund of the total reservation amount.• 2 days or less prior to arrival: Non-refundable.
No-shows and early departures are non-refundable.
Date modifications requested more than 7 days prior to arrival may be accommodated based on availability and rate differences.
Modifications within 7 days of arrival are treated as cancellations.
INCIDENTAL HOLD & DAMAGE AUTHORIZATION
At check-in, a $50 authorization hold will be placed on the guest’s credit or debit card for incidental charges.
This hold may be used to cover:
• Damage to the room or property• Missing items• Excessive cleaning• Smoking violations• Pet-related damages• Unpaid balances
Charges may exceed the incidental hold amount and will be applied to the credit card on file.
If no incidental charges occur, the hold will be released after departure (release timing depends on the guest’s bank).
PET POLICY
Pet-friendly rooms are available in designated units only. Guests must notify the Motel at least 24 hours prior to arrival if traveling with pets.
Pet Fee: $10 per night (maximum two pets per room).
If pets are disclosed at least 24 hours prior to arrival, no additional cleaning fee will apply.
If pets are not disclosed in advance, a $30 cleaning fee will be charged in addition to the nightly pet fee.
Pets must not be left unattended in rooms.
Guests are responsible for any pet-related damage or excessive cleaning required.
OCCUPANCY & REGISTERED GUEST POLICY
Each room has a maximum occupancy limit based on safety regulations. This limit includes adults and children.
Only registered guests listed on the reservation may occupy the room overnight.
Unauthorized guests, excessive visitors, or room gatherings are strictly prohibited.
Violation of occupancy limits may result in:
• Additional guest charges• Immediate termination of the stay• Removal without refund
QUIET HOURS & GUEST CONDUCT
Quiet hours are observed daily from 10:00 PM to 8:00 AM.
Guests must maintain reasonable noise levels at all times.
Prohibited conduct includes:
• Excessive noise• Disorderly behavior• Public intoxication• Illegal activity• Property damage• Loitering or disruptive behavior in parking areas
Management reserves the right to remove guests without refund for violations of property policies.
Law enforcement may be contacted when necessary.
SMOKING & MARIJUANA POLICY
Country West Motel is strictly non-smoking indoors.
Smoking is prohibited inside all guest rooms and interior areas. This includes cigarettes, cigars, vaping devices, and marijuana.
A minimum $250 smoking remediation fee will be charged for evidence of indoor smoking. Additional charges may apply for deep cleaning, linen replacement, or lost revenue.
Guests must comply with all Wyoming state laws while on the property.
ASSUMPTION OF RISK & PROPERTY LIABILITY
Country West Motel is not responsible for:
• Personal injury occurring on the premises• Accidents or incidents in parking areas• Loss, theft, or damage to personal property• Damage to vehicles
Guests are responsible for supervising minors at all times.
MINIMUM AGE & IDENTIFICATION
The primary guest checking in must be at least 21 years of age and present valid government-issued photo identification.
The name on the ID must match the reservation.
Guests under 21 must be accompanied by a parent or legal guardian.
Management reserves the right to refuse service if identification requirements are not met.
RIGHT TO REFUSE SERVICE
Country West Motel is privately owned. Management reserves the right to refuse service or terminate a stay without refund for policy violations, illegal activity, unsafe behavior, or conduct that disturbs other guests.
